Terms of Service
Effective date: October 28, 2026
1. The agreement
These terms are an agreement between you and HealthLife Solutions, LLC, a Florida limited liability company ("we", "us"), which makes StaConPic. By installing or using the StaConPic apps or website (the "service"), you agree to them.
- Companies. A company that sets up a team (the "Customer") agrees to these terms for the company. The person who sets it up confirms they have authority to do so.
- Team members. If you join a team, you use StaConPic on the Customer's behalf and must follow these terms and the Customer's instructions.
- Privacy. Our Privacy Policy explains how we handle information and is part of these terms.
You must be at least 18 to use StaConPic. If you don't agree to these terms, don't use the service.
2. Accounts, teams and roles
You sign in with your email address and a one-time code, or a password you set. Keep access to that email account secure; anyone who can read it can sign in as you.
- Managers invite and remove team members, set roles, set up projects, and can edit, delete and export the team's photos. The Customer is responsible for who its Managers let in and what they do.
- Inspectors take photos and can edit details on their own photos.
- Every team must keep at least one Manager.
- Give accurate information, use only your own account, and don't share sign-in codes or passwords.
- Tell us right away at support@staconpic.com if you think someone has used your account without permission.
You are responsible for what happens under your account, and the Customer is responsible for its team's use of the service.
3. Plans and payment
During the pilot, StaConPic is free. Paid plans for companies and individuals may be offered later, and we will tell Customers at least 30 days before any charge starts.
When paid plans start:
- Prices, what each plan includes and billing dates are shown when you subscribe.
- Subscriptions renew automatically for the same period unless cancelled before the renewal date. App-store subscriptions are cancelled in your Google Play or Apple account.
- Fees are not refunded for partial periods, except where the law or the app store's rules require.
- If a subscription ends or isn't paid, the team keeps read-only access for 30 days. After that, only Managers can sign in, and only to export photos, until the 90-day period in section 8 ends.
- We may change prices with at least 30 days' notice; the change applies from the next renewal.
- Prices don't include taxes, which are added where required.
4. Your photos and content
The Customer owns the photos, details, project files and other content its team puts into StaConPic ("Content"). We don't claim ownership of it.
- Permission we need. The Customer gives us permission to store, copy, process, stamp and display Content only to run the service for the team, keep it secure, and support it. This ends when the Content is deleted, except for backup copies that age out on their normal schedule.
- No other use. We don't sell Content or use it for advertising. We won't use photos to train AI models or build products for others without the Customer's written permission.
- Your responsibility. You must have the right to take and upload what you upload. Follow site rules, client contracts and privacy laws, for example about photographing people, private property or secure areas.
- Sharing. When someone on your team exports or shares Content, they decide who gets it. We aren't responsible for what recipients do with it.
- Feedback. If you send us ideas or suggestions, we may use them to improve StaConPic without owing you anything.
The StaConPic name, app, design and software belong to us and our licensors. These terms give you a limited, non-transferable right to use the service; they don't give you ownership of it.
5. Acceptable use
Use StaConPic for legitimate work. Don't:
- Upload anything illegal, or anything you don't have the right to upload.
- Use it to harass, stalk or secretly record people.
- Falsify photo records, for example by changing dates, locations or details to mislead an owner, agency or court. Edits made in the app are recorded with who made them and when.
- Try to reach another team's data, get around security or sign-in limits, or probe the service for weaknesses without our written permission.
- Overload the service, or use bots or scripts to access it, except through features we provide.
- Copy, resell, rent or reverse-engineer the app, except where the law allows.
- Use the service in a way that breaks the law or the rules of Google Play or the Apple App Store.
We may remove Content or suspend access that breaks these rules (see section 8).
6. Location, station and offset accuracy
Locations, elevations, camera directions, stations and offsets in StaConPic are estimates for documentation, not a survey.
- They come from the phone's GPS, compass and sensors, which can be off by several metres or more, especially near buildings, trees, steel or heavy equipment. The app records the GPS accuracy it received.
- Stations and offsets are only as good as the alignment files a Manager imports and the start stations entered.
- Don't use StaConPic values for layout, staking, pay quantities, legal boundaries or safety decisions. Use a licensed surveyor or proper survey equipment for those.
- Check important values against the site before relying on them. A Manager can correct details on a photo; the edit is recorded.
Dates and times come from the phone's clock and time zone.
7. The service
We work to keep StaConPic running and your photos safe, but we can't promise it will always be available or error-free.
- Updates. The app updates itself to fix problems and add features. Some updates need a new version from the app store; older versions may stop working.
- Changes. We may add, change or remove features. If we remove a major feature a paying Customer relies on, we will give reasonable notice.
- Offline use. Photos taken without signal are kept on the phone and upload when it reconnects. Photos that haven't uploaded can be lost if the phone is lost, reset or the app is deleted.
- Keep your own records. The service isn't a substitute for the Customer's own record keeping. Export important photos regularly if your contracts require you to keep them.
- Maintenance and outages. The service may be unavailable during maintenance or outages, including problems at our providers.
- Open source. StaConPic includes open-source software under its own licenses, listed in the app under Settings → Open-source licenses. Those licenses apply to those parts.
- Third-party services. Maps, app stores and email are provided by others under their own terms.
8. Ending your use
You can stop using StaConPic at any time.
- Team members can delete their account in Settings → Delete account. Their photos stay with the team, as the Privacy Policy explains.
- Customers can close their team by emailing support@staconpic.com from a Manager's address, or by cancelling their subscription.
- We may suspend or end access if someone seriously or repeatedly breaks these terms, doesn't pay, puts the service or other teams at risk, or if the law requires it. Where we reasonably can, we will warn the Customer first and give it a chance to fix the problem.
- We may stop offering StaConPic altogether with at least 90 days' notice to Customers.
Getting your photos out. After a team is closed or access ends (other than for illegal use), Managers have 90 days to export the team's photos. After that, the team's Content is deleted, and backup copies age out on their normal schedule.
Sections 4 (ownership), 6, 9 and 10 continue after these terms end.
9. Disclaimers, limit of liability and indemnity
As is. To the extent the law allows, StaConPic is provided "as is" and "as available", without warranties of any kind, including fitness for a particular purpose, accuracy and non-infringement.
Limit of liability. To the extent the law allows:
- We aren't liable for indirect, incidental, special or consequential losses, or for lost profits, revenue, data or business, even if we were told they were possible.
- Our total liability for all claims about the service is limited to the greater of $100 or what the Customer paid us in the 12 months before the claim.
These limits don't apply where the law doesn't allow them, for example for fraud or for harm caused on purpose.
Indemnity. The Customer will defend and pay for claims against us that come from its team's Content, its team's breach of these terms, or its team's breach of the law, including reasonable legal fees.
10. Legal terms
- Governing law. Florida law governs these terms, without regard to conflict-of-law rules.
- Disputes. Before filing a claim, email support@staconpic.com and give us 30 days to try to resolve it informally. Any lawsuit must be brought in the state or federal courts for Lake County, Florida, and both sides agree to those courts. Either side may use small-claims court where it qualifies.
- Changes to these terms. We may update these terms. We will change the date at the top and, for important changes, tell Customers in the app or by email at least 30 days before they take effect. Continuing to use StaConPic after that means you accept them.
- Whole agreement. These terms, the Privacy Policy and any signed order form or contract with a Customer are the whole agreement. If a signed contract conflicts with these terms, the contract wins.
- Other terms. If part of these terms can't be enforced, the rest still applies. Not enforcing a term isn't a waiver. You can't transfer these terms without our consent; we may transfer them with the business.
- App stores. Google and Apple aren't parties to these terms and aren't responsible for StaConPic or its support.
